Shift suggestions that explain themselves

Who should take the vacant shift? A good system doesn’t just suggest a name—it tells you why, so you can trust the suggestion or override it with open eyes.

Some people call in sick two hours before their shift. Who do you call? Most managers have a gut feeling—but the gut feeling doesn’t remember who worked three weekends in a row, who’s approaching overtime limits, or who had too little rest last time. A good system remembers all of this, suggests the best candidate, and—just as importantly—tells you why.

From empty field to ranked list

When you have a shift to fill, the system can rank the entire staff for that exact shift: who fits best, who fits next best, and so on. If you’re planning an entire week, it can suggest candidates for each understaffed shift at once—as a suggestion you review and decide on, not a plan it executes behind your back.

What the suggestion weighs—in prioritized order

The ranking isn’t a mysterious number. It’s based on a few understandable factors, in the order most businesses actually care about:

  • Rest time. How much breathing room the candidate has before and after the shift, and how many consecutive days they’ve already worked. The well-rested candidate ranks higher.
  • Contract hours. How far below their monthly contracted hours the candidate is. Those missing hours to reach their contract are prioritized.
  • Fair distribution. Who has recently taken many shifts—and especially many inconvenient evening and weekend shifts. The burden rotates; it doesn’t pile up on the same people.
  • Your own order. The order you’ve arranged the employees in also counts.
  • Employee preferences. The days and times the employee themselves has said they prefer—consciously weighted lowest, as a consideration, not a right.

Each of these is shown next to the total score. So you don’t just see that «Kari» tops the list—you see that she tops it because she’s well-rested and below her contracted hours—while «Per» is lower because he’s already had three weekend shifts this month.

A suggestion, not a decision

This is worth emphasizing: the suggestion engine is advisory. It ranks; it doesn’t decide. The actual legal check—rest time, overtime limits, breaks, rules for young workers—runs when the shift is actually assigned, against the real data in the system. A bad suggestion might at worst become a worse suggestion; it can never become an illegal assignment that slipped past the controls. You can safely follow the top suggestion, or override it—with the reasoning right in front of you.

An explainable suggestion engine does two things at once: it saves you the mental math when a shift needs to be filled, and it shows you the calculation behind every suggestion. You get the speed of automation and the security of understanding why—and the legal check stands firm where it should, at the assignment itself.
